This Privacy Policy explains how Vancorix Team (“Vancorix”, “we”, “us”, or “our”) collects, uses, discloses, and protects information when you use the Vancorix mobile application and related services (collectively, the “Service”). If you do not agree with this Privacy Policy, do not use the Service.

2) Information We Collect

We collect information in three main ways: (a) information you provide, (b) information collected automatically when you use the Service, and (c) information collected with your permission (such as location).

2.1 Information You Provide

  • Account information: name, username, and email address.
  • Customer support: the content of messages you send to support, and any information you choose to share.
  • Content you create: logs of activities, emotions, ritual details, notes, and related entries you submit to the Service.
  • Photos: if you choose to add photos to your entries, we process and store them as described below.

2.2 Information Collected Automatically

  • Device information: device model, operating system version, language settings, app version, identifiers needed to operate the Service.
  • Usage data and diagnostics: interactions with features, performance data, and similar analytics.
  • Crash logs: information about crashes and errors to help us diagnose and fix issues.

2.3 Location Information (Only If You Allow It)

If you grant location permission, we may collect and use your precise or approximate location, depending on your device settings. You can revoke location permission at any time in your device settings.

2.4 Cookies and Similar Technologies

If portions of the Service are available via a web interface, we may use cookies or similar technologies (which may include web beacons) for authentication, remembering preferences, and basic analytics and security. You can usually control cookies through your browser settings. Some features may not work properly without them.

3) How We Use Information

  • Provide and maintain the Service (including account creation, login, syncing, and core features).
  • Personalize your experience and settings.
  • Improve the Service (including analytics, debugging, performance monitoring).
  • Security: protect the Service, prevent fraud, and enforce our terms.
  • Customer support and communications.
  • Compliance with legal obligations and lawful requests.

We do not sell your personal information.

We also do not “share” personal information for cross-context behavioral advertising (as that term may be defined under certain laws).

3.1 Legal Bases (Where Required)

Where required by applicable law (such as in the EEA/UK), we process personal information based on one or more legal bases including contract, consent, legitimate interests, and legal obligation.

4) Photos, Face Data, and Biometric Information

  • No face recognition / biometrics: we do not perform face recognition and do not create or store biometric identifiers or biometric information for identification purposes.
  • Not used for training or marketing: your photos and entries are not used for advertising targeting, marketing, or training third-party models.
  • Local-first intent: where supported, photos and entries may be stored on your device by default. If you enable account features that require syncing or server processing, your content may be transmitted to and processed on our servers as described here.
  • One-time AI processing for photos (if you choose it): if you upload photos for AI-Assisted Features, we process them one time to generate your requested result and then delete the uploaded photos from the processing pipeline promptly after processing is completed (unless you choose to save them in the Service).

5) Optional AI-Assisted Features (If Enabled by You)

Vancorix may offer optional features that help you generate summaries, insights, or structured content based on text and/or images you choose to upload (“AI-Assisted Features”).

  • Processing location: submitted text and/or images are processed on servers controlled by Vancorix (not by third-party AI providers).
  • No third-party sharing: we do not share the submitted text/images with third parties for AI processing.
  • One-time processing and deletion: we process the content to generate the requested result and then delete the submitted content from the processing pipeline promptly after processing is completed. If you choose to save the generated result or your original content within the Service, that saved copy is retained according to the retention section below.
  • You control use: you can choose whether to upload content and whether to generate outputs.
  • No training/marketing: submitted content is not used to train AI models or for marketing.

6) How We Share Information

We share information only in the following circumstances and only to the minimum extent necessary:

  • With your consent: when you direct us to share information.
  • With service providers (processors): vendors who help us operate the Service (e.g., hosting, storage, customer support tooling, email delivery, security, and diagnostics) under contractual obligations to protect your information and use it only to provide services to us.
  • For legal reasons: to comply with laws, regulations, legal process, or lawful governmental requests.
  • To protect rights and safety: to protect the rights, property, and safety of Vancorix, our users, or others, including to enforce our agreements and investigate potential violations.

7) International Data Transfers

We may transfer, store, and process information outside your country/region. Where required, we use appropriate safeguards such as Standard Contractual Clauses (SCCs) or other lawful transfer mechanisms.

8) Security

We use reasonable administrative, technical, and physical safeguards designed to protect your information, including:

  • Encryption in transit and at rest (where applicable)
  • Access controls and least-privilege practices
  • Regular security reviews/audits
  • Backups and recovery procedures

No method of transmission or storage is 100% secure, but we work to protect your information.

9) Data Retention

  • Account data: retained while your account is active.
  • Account deletion: if you delete your account, we will delete or anonymize associated personal information within 30 days, unless we are required to keep it longer by law.
  • Usage analytics: generally retained for up to 12 months.
  • Support communications: generally retained for up to 6 months.

10) Your Privacy Rights and Choices

Depending on your location, you may have rights to access, correct, delete, restrict, object, or withdraw consent (where applicable).

11) Children and Age Eligibility

The Service is intended for individuals who are at least 17 years old. We do not knowingly collect personal information from anyone under 17. If you believe a child under 17 has provided us personal information, contact us and we will take steps to delete it.

We may update this Privacy Policy from time to time. We will revise the “Effective Date” above when changes take effect. Your continued use of the Service after the effective date of an updated policy means you accept the updated policy.
